AI Disclosure

Updated October 3, 2026. Version 1.4.

We believe customers, regulators, and end users deserve a clear explanation of how AI is used in ReplaceReceptionist. This document is that explanation. It supplements (and does not replace) our Terms of Service and Privacy Policy.

1. What the AI Does

In ReplaceReceptionist, we use AI for reading the text messages a caller sends after a missed call, writing text replies from the information you entered or approved, noticing the urgent words you chose, turning voicemails into text, and reading your website when you ask us to import it.

In plain English: ReplaceReceptionist is a missed-call text-back service. When a call to your business is forwarded to the ReplaceReceptionist number on your account because you did not answer or your line was busy, the caller hears a short message and can leave a voicemail, and the caller is sent a text message from that number within seconds. An AI assistant then holds the conversation by text: the first text says it is from an automated assistant, and it says it is an AI when asked. It answers questions about your hours, services and prices using only information you entered or approved, takes messages and booking requests (which you confirm; it never tells a customer they are booked), and alerts you by text when a customer uses an urgent word you chose. You can reply from your dashboard and take over a conversation. It does not answer calls by voice. It is not an emergency service.

2. Models and Providers

Text replies, and the website import you can run during setup, use Anthropic’s Claude models. Text-message delivery, phone numbers, the short message a caller hears, and voicemail recording and transcription are provided through Telnyx. We do not train any model on your data or your callers’ data.

Safety rules are built into every conversation: the first text says it is from an automated assistant, and the assistant says it is an AI when asked; it answers only from information you entered or approved, and when it does not know it says so and takes a message; booking requests are never described as booked; and it stops texting anyone who replies STOP.

The first text says it is from an automated assistant. The example conversation on our website uses a fictional business.

3. Human Oversight

You choose the information the assistant may use and the urgent words that alert you, and you confirm every booking request. You can read every conversation in your dashboard, reply yourself and take over; the AI steps back for that conversation.

Where the Service offers an auto-send or auto-publish option, you can change that setting at any time in the dashboard. We default to human-in-the-loop wherever practical.

4. Known Limitations

AI is fast and useful, but it is not perfect. Please be aware that AI Output may:

  • Contain factual errors, even when written confidently.
  • Reflect biases in its training data.
  • Misinterpret ambiguous customer intent.
  • Generate content that needs editing for tone, accuracy, or local nuance.

You are responsible for reviewing AI Output before relying on it, publishing it, or sending it to third parties.

4A. No Voice AI (Updated October 3, 2026)

ReplaceReceptionist does not use AI to speak with callers. The short message a caller hears when a call is missed is the same for every caller and is not an AI conversation. AI is used for text replies, for transcribing voicemails, and for reading your website when you ask us to import it.

5. Disclosure to End Users

Some laws require telling people when they are interacting with AI or when content is AI-generated. Here is how that works in ReplaceReceptionist today:

  • The first text a caller receives says it is from an automated assistant, and it starts with the business’s name. If a customer asks, the assistant says it is an AI.
  • ReplaceReceptionist does not make automated decisions that have legal or similarly significant effects on people (such as decisions about credit, housing, employment, insurance, or health care).

You are responsible for any additional disclosure required by the law that applies to you or your customers, by your industry, or by the platforms you post to.

6. Questions and Corrections

If someone disputes a message, reply, or other output, the business that sent it can edit or remove it from its dashboard. Anyone can also e-mail hello@frontdeskglobal.com (subject line: “AI question — ReplaceReceptionist”); we will pass it to the business within one business day.

7. Data Used by the AI

The AI processes only the data needed to perform its function. We minimize input scope wherever possible and avoid sending unnecessary personal information to the model.

8. Updates to This Disclosure

We may update this Disclosure as the Service, the law, or our providers change. Material changes will be communicated by email or in-app notice at least 30 days before they take effect.
